Choose the camera button beside Email at the top of TRADWRK. The camera opens in a TRADWRK window. Allow camera access on your device if requested, choose Take photo, review the image and choose Retake or Save to My General Files. No job is needed. The camera stops during photo review and when the window closes. A save is confirmed before the window says the photo is saved.
Choose Open My General Files to find the original. From there, use Use in a job or ask TRADWRK to file the saved photo. Review the destination job, category and visibility; the original remains in General Files. You can photograph receipts, deliveries, equipment, drawings or other items. Uploading existing files and emailing pictures to your private General Files address remain separate options.
For a known job, open Expenses / Receipts → New expense. Choose a receipt file or Take receipt photo. The camera window lets you review and Use photo in the form. Check the selected job and image, then choose Save receipt to this job. Enter the actual expense fields and Save draft. No amount is read automatically. Saving a receipt does not save, approve, pay or post the expense; the original stays in Job Files even if you cancel the draft. The earlier video also shows the separate Job Files upload route.
Direct camera access depends on your device permissions and installed app version. A permission or unavailable-camera message does not save a photo. You can still use Upload or email.
General Files and opening your job records
CURRENT WRITTEN GUIDE
Save it now. Open the details when you need them.
General Files
Verify a filed document: After a reviewed copy, the filing result shows the saved filename, destination job, category and visibility at filing. Choose Open filed document to recheck access and open that exact saved file. If it belongs to another available job, TRADWRK selects that job before opening it. Missing or restricted files display an error; the button does not substitute another document or change sharing. The original remains in General Files.
Upload recovery: Keep the page open while saving files. The progress list identifies saved files, existing originals and files still waiting. If the connection fails, your selected files and batch notes remain on this page. Choose Retry unfinished files; confirmed files are skipped, and a lost confirmation is checked for an existing original. Clear unfinished selection releases the remaining selection without deleting saved files. Closing or reloading the page, or signing out and back in, requires choosing files again.
File by request: On the Dashboard, ask “Put this Android receipt in Other files for Office”, using words from your saved filename and a job name or number. TRADWRK looks up the request immediately and opens the filing review. Short job names work when there is one match. If several files match, choose the exact source; if the job or category is unclear, choose it in review. Suggestions use filenames, not document contents. An explicit missing filename is never replaced with a similar file. Check the exact source, job, category and visibility before copying; the original stays in General Files.
Choose the eye icon, General Files, below Jobs / Projects. Choose files from your device and save them without creating a job or choosing a category.
Each user has their own files. The company owner can review everyone’s General Files within that company.
Choose Use in a job, review the destination job, category and visibility, then confirm the copy. The original stays in General Files. The boss can keep a job copy hidden until it is ready to share.
Where you upload files, Choose from General Files lets you reuse an existing file. Review the normal upload form before saving. Email / Share can also attach a General File.
Incoming email: My General mailbox shows a private receiving address only when receiving is enabled on the server. Forward to that address and use Check incoming email or refresh saved messages. Received originals and attachments stay in your General Files. Incoming messages never approve work or create accounting records. If the page says receiving is not enabled, use the device upload instead.
Ask TRADWRK to file a document
In General Files, choose Ask TRADWRK to file a document, or type a filing request in the dashboard Ask box.
Include the exact saved filename, job name or job number, and category. For example: “Put lighting.pdf in Submittals for Airport Remodel.” You can also choose the source file yourself.
Choose Review where it goes. If the file or job is ambiguous, choose the intended one. Review the source, destination, category and visibility, check the confirmation, then choose Copy into job.
Your original stays in General Files. A reviewed job-file copy does not create a submittal, RFI, budget line, approval or accounting entry. Those workflows have their own reviewed controls.
Submittals, RFIs, change orders and budget lines
Prepare a submittal follow-up: Open an unresolved saved submittal and choose Prepare submittal follow-up draft. TRADWRK rechecks that exact current revision and fills its description, revision, status, recorded reviewer, responsible party, review comments and due date. Missing information is identified rather than invented. Review the recipient and wording before saving or sending. Approved, closed or replaced revisions cannot prepare an unresolved follow-up. Existing unfinished email drafts are preserved.
Prepare an RFI follow-up: Open an unresolved saved RFI and choose Prepare RFI follow-up draft. TRADWRK reads that exact RFI again and fills its saved question, status and due date in Project email drafts. Enter the recipient and review the wording before saving. Preparation sends nothing and does not change the RFI. An existing unsaved draft is preserved; review or save it first. Closed or answered RFIs are not offered as unresolved follow-ups.
Click a saved record in its register. Its pop-up opens the actual saved details and any explicitly linked PDF or image. A similar filename alone is not treated as an attachment. If no file is linked, the pop-up says so; users with editing permission can attach a reviewed job file to an eligible draft or revision.
A budget line opens its recorded categories, accessible source files and matching cost transactions. Unrecorded costs and forecasts remain unavailable. Opening a record does not approve work or authorize payment.
Safety and T&M
Each of the nine Safety cards opens the matching records, form or review workspace. Record JHAs, incidents, near misses, inspections, corrective actions and training credentials. Credential dates are recorded evidence, not independent certification. Closing a safety action requires permission and reviewed resolution evidence. Quality / Deficiencies opens the native inspection and reinspection controls.
Select a saved T&M ticket, then choose one of its nine cards to review scope, labor, materials, equipment, pricing, authorization, documents, related records or billing. Draft costs and explicit markup can be reviewed and saved. Authorized and billed tickets stay locked. Customer signatures require existing signed evidence; billing and conversion remain separate explicit actions.
Dashboard, jobs and connected records
Choose a row in Today’s Priorities or Needs Attention to open its matching saved record. View all shows the full current list. Choose a job in Jobs / Projects to see its saved summary and open its Dashboard, Budgets & Costs or files.
Materials and Daily Reports
Choose the selected record, a Needs Attention row, or Connected Records to open a detail window. A warning first lists its affected records; choose one to see its details. Connected links open the matching accessible RFI, change order, purchase order, report or file. A missing reference is explained rather than replaced by a similar record. In Daily Reports, use Edit selected report for eligible changes; approval remains separate.
Field Hours and Equipment / Tools
Choose a saved worker entry or a labor review group to open its source details. Users with editing permission can correct submitted, unposted hours; the entry still awaits approval. Approved or provider-linked entries remain read only. Daily-report crew hours stay separate from worker totals.
Each of the six Equipment / Tools summary boxes opens its supporting asset list. Choose an asset or a register row to review it. Users with editing permission can change asset details and save; a saved monthly cost does not create an accounting transaction. The monthly-cost box also fits large amounts on a narrow screen.
Reports
Choose one of the nine reports and select View report. The report opens in a window with its saved source groups and Save printable report. The six summary boxes also open their related reports. To add or correct data, use the window’s source-workspace buttons, save there, then refresh the report. Report totals and audit history are not edited directly. Missing figures remain unknown.

QUICK GUIDE · PRIVATE CUSTOMER SUPPORT
Tell us what went wrong.
In TRADWRK, open the dashboard and choose the red Contact Support button beside the weather.
Give the problem a short title. Choose I can’t continue working if the issue blocks your work.
Describe what you tried and what happened. Add a callback number if you want a call.
Optionally attach a PNG, JPG or WebP screenshot up to 3 MB. Remove passwords, card numbers and other sensitive information first.
Choose Send to Support and keep your request reference. Your message goes privately to TRADWRK support, with your selected job and page. Nothing is posted publicly.
We’ll respond within the window shown on the form and work to resolve your issue as quickly as possible. A response is not a guarantee that every issue can be fixed in that time.
If the connection times out, keep the form open and choose Retry same request. If the form cannot load, email [email protected].
Start here for the updated Reports and QuickBooks layouts; earlier walkthroughs remain below for context. Actual fictional verification company: report selection, source expansion and HTML download; saved bill refresh and matching-section review without saving. The QuickBooks connection is simulated. A separately prepared draft application 21902 and its actual downloaded 2,979-byte PDF are reviewed as saved results; a complete PDF download click is not shown. The file viewer is clearly labeled read-only and is not the app. No provider connection, mapping save, submission, certification, posting or payment is demonstrated.

Dashboard
Get oriented: review project progress, cost signals and the items that need attention.
Select your job, then type a request in the Dashboard Ask TRADWRK box, such as “Open RFI RFI-42”, “Open daily report DR-10” or “Find file lighting.pdf”. Use your actual saved number, filename or title.
A unique exact match opens its current saved details. If several records match, select the right result. Only your selected job and permitted records are searched; select another job first when needed. This request does not edit, send, approve or pay anything.
October 23 written update. The original Dashboard recording remains available above.
Ask to prepare an RFI or submittal
Try “Prepare an RFI from RFI-001.pdf” or “Draft a submittal from lighting.pdf”, using the exact filename saved in your selected job. TRADWRK opens the source-review area with the register and matching file selected. Duplicate filenames require your choice; a missing file is not substituted.
For a PDF, review the document-reading permission before choosing Preview source file. Compare the suggested fields with the original, fill missing information and confirm the review before saving drafts. The request itself does not read the PDF with AI, save a draft, issue, approve or email it.
Ask to open another job
On the Dashboard, try “Open job MAIN-01” or “Open project Main Street Remodel”, using your saved job number or name. A unique exact match opens that job’s Dashboard. Similar or duplicate names show choices; an unknown name leaves your current job selected. Only jobs available in your normal, unarchived job list are offered. This changes your selected project, not its business records.
Prepare a daily-report draft from field notes
On the Dashboard, try “Prepare a daily report: report: DR-10; date: 2026-10-23; crew: 3; hours: 24; work: Installed the room A fixtures; issues: Awaiting finish answer”. Replace every sample fact with your actual notes. Labels are optional for work notes; separate labeled fields with semicolons or new lines.
TRADWRK copies your supplied facts into the selected job’s report form. Unspecified crew and labor hours stay blank and must be entered explicitly before this prepared draft can be saved. Confirm the job, date and fields using the review checkbox. Changes require a fresh review. Saving this prepared form creates a draft; sending, submission, approval and payroll remain separate actions. An already-open report is never replaced by a request.
Attach existing job files: In a Daily Report, use Attach photos or PDFs, or choose from General Files. An identical PDF already saved in this job is linked from its original folder; it is not moved or shared more widely. Save the report, reopen it and check the linked document before exporting. A plain Issues entry of “None” or “N/A” does not raise an issues alert; substantive or uncertain notes remain visible for review.
Open a job and prepare a source review
On the Dashboard, ask: Open job "PRACTICE-OFF-02", find "RFI-001.pdf", and prepare an RFI. Use the exact saved job number and filename in quotes. You can also ask: Prepare a submittal from "lighting.pdf" for job "JOB-01".
Review the planned steps and choose the exact permitted job. TRADWRK then opens that job’s saved-file review. Missing or duplicate files need your selection. PDF reading consent, field review and saving remain separate. This request never sends, approves, shares or pays. General Files also accepts requests such as "I’d like to file lighting.pdf in Submittals for this job"; the original stays in General Files and its copy requires destination and visibility review.
Ask what needs attention
Order and material follow-ups: From a saved material, choose Prepare material follow-up draft. In Purchase Orders, choose Prepare follow-up beside the order and select its exact saved source. The app checks current facts, preserves unfinished drafts, and opens a message for your review. If another message is unfinished, choose Open my unfinished draft to continue it directly. Its recipient, subject and message stay intact; reopening never saves or sends it. On the Dashboard, ask “Prepare a vendor follow-up for PO-001” or “Prepare a shortage follow-up for material Copper”. Use your actual saved order number or material name. Matching saved and imported sources stay separate; choose the intended source when several match. TRADWRK rechecks its saved facts before preparing the draft. Changed or resolved sources require a fresh search. Order quantities are shown per saved line; material shortage and backorder fields are identified only when recorded. Imported fields are not receiving totals, and expected dates are not delivery promises. Review the recipient, quantities and wording before saving or sending. Existing unfinished drafts stay protected.
Ask for a follow-up draft: On the Dashboard, type “Prepare an RFI follow-up for RFI-42” or “Draft a submittal follow-up for SUB-001”, using your saved number or exact title. “Prepare a follow-up for RFI RFI-42” also works. The same phrasing supports saved material and purchase-order follow-ups. A unique exact match opens its prepared email draft; multiple or partial matches require your selection. The selected job, current record status and submittal revision are checked again. Include the record number when asking about “this RFI”; TRADWRK does not guess the record from an earlier conversation. Review the recipient and wording before saving or sending. Existing unfinished drafts are preserved.
Follow through: Saved follow-up cards separate why the item needs attention, the suggested next step and what confirms completion. Choose the labeled RFI, submittal, daily-report or approval review button to open its saved details. Viewing does not answer, approve or close the item. After saving actual work in the appropriate workspace, return and choose Refresh saved follow-ups in the Ask response to recheck current records. Missing reports still require factual field information; an empty list is not a project-completion certificate.
On the Dashboard, ask “What needs attention?” or “What should I do next?”. TRADWRK checks the selected job’s accessible saved RFIs, submittals, pending approval requests and recent daily reports. Follow-ups appear in recorded urgency and due-date order, with evidence, a suggested next step and what would confirm completion. Select an item to open its current saved details.
Missing field updates and restricted areas are identified. An empty result does not mean the job is complete or risk-free. Financial, purchasing, safety and schedule reviews remain separate. This request does not change records, grant approval, send messages or make payments.
Prepare a change-order draft from scope notes
On the Dashboard, try “Prepare a change order: scope: Add the confirmed room A fixtures; amount: 125.25”. Replace the example with your actual scope and confirmed USD total. You can add “number: CO-10”; otherwise a draft number is suggested. Leave the amount out when pricing is unknown. A confirmed credit can be negative.
Check the displayed job, edit the scope and price, then select the review checkbox to enable Save change order draft. Editing a field clears your review. Blank pricing does not mean zero. Saving creates a draft only; contract approval and email remain separate. An already-open change-order draft is never replaced. Close the form to leave without saving.

Jobs / Projects
Follow the project setup and selection walkthrough before exploring the other pages. In Settings, open Customer setup guide to review your first steps. Creating a job records the project step; uploading a visible saved job file or importing project information records the information step. The guide shows saved evidence, so review your files and setup before relying on them. New companies include a limited Field User company role. In team settings, choose the company role and intended Project access explicitly when inviting a worker. Existing company roles and users are unchanged.
Follow the sample submittal workflow and see how its information is recorded.
For an administrative closeout, save a new revision using Closed and explain the disposition in Review Comments and Notes. Preserve the original revision and source files. Closed records no longer request an active due date or owner; closure does not itself approve procurement, installation or payment.
Select the job and open the saved T&M ticket. Review its work date, customer, labor, materials and equipment costs.
Set the ticket to Pending or Submitted. An authorized reviewer enters an internal approval note and selects Approve selected ticket internally. This is separate from customer authorization.
For the invoice route, save the actual authorization document in that job. Select Load project documents, choose the exact document, enter the signer named on it and the signing date, then confirm the evidence and select Record documented customer authorization. Recording evidence does not sign for the customer.
Choose one destination: create a customer invoice from a documented, signed ticket, or convert an internally approved ticket into a draft change order. Review the accounting handoff before confirming.
Reopen the destination and check the amount and job. Retrying reuses the existing destination; a ticket cannot take both billing paths. An internal invoice is not sent or posted to QuickBooks by this action. A draft change order does not increase the approved contract.
