Privacy Policy
Who we are and how to contact us
TRADWRK is construction project management software operated by Emerald City Concepts LLC. This policy describes information handled through our website and software. For privacy questions or requests, email [email protected].
Information we receive
- Account and company information: names, email addresses, company profiles, account roles, login credentials in protected form, and support correspondence.
- Project information: drawings, uploaded files, project descriptions, budgets, schedules, materials, labor and daily reports, paperwork, safety records, and other information you or your company choose to enter.
- ASK and voice requests: questions, relevant project context, transcripts, answers, saved drafts, and supported action or approval records. When you use voice input, your microphone recording is sent for transcription.
- Billing information: customer and subscription identifiers, plan and invoice information, payment status, and limited payment-method details returned by Stripe for website subscriptions. Card details entered in Stripe-hosted checkout are handled by Stripe. For Android subscriptions purchased through Google Play, we receive purchase tokens, order and product identifiers, subscription status, and trial and expiry information to verify and restore access. Google handles the payment method; TRADWRK does not receive your full card details from Google Play.
- Technical and security information: session identifiers, request and security logs, IP addresses used for security checks, and records of access, changes, and approvals.
Email activity
TRADWRK records outgoing email recipients, subjects, send times and known delivery status. New project messages can include a disclosed activity image and tracked links. We record counts and activity times, without storing recipient IP addresses or device fingerprints in the email activity feature. Privacy tools, forwarded emails and security scanners can affect these signals; they do not prove a person read the message. Password-reset and account-verification links are not tracked. Company owners can review recorded email activity and enable daily reports to their selected addresses. Website contact messages are saved and emailed to TRADWRK.
How we use information
We use information to provide and secure the service, manage accounts and permissions, retrieve relevant job information, prepare requested answers and drafts, process supported approved updates, maintain billing and accounting connections, communicate with you, troubleshoot problems, and maintain records needed for business and legal obligations.
The public product demo uses illustrative data. Its guided video and preset questions do not run live ASK requests or change your project records.
AI and microphone recordings
TRADWRK uses OpenAI for supported AI answers and voice transcription. Your request and relevant project information may be sent to OpenAI to provide the feature you choose. The transcription endpoint holds audio for the request and does not save the microphone recording in TRADWRK's database. Transcribed text, job updates, answers, or drafts may be saved where the application provides those functions. Provider processing and retention are governed by the service configuration and applicable provider terms.
You can use typed requests instead of voice. Microphone access is controlled by your browser or Android device permissions. In the Android app, supported AI and voice requests ask you to confirm sharing the request and relevant job information with OpenAI before sending it. Review AI answers and prepared actions before relying on them or approving a supported update.
When information is shared
- Your company: authorized users may access information according to their account roles and the company's controls.
- Service providers: DigitalOcean supports hosting and stored data; OpenAI supports AI and transcription; Stripe supports website subscriptions and payments; Google Play supports Android app distribution and Google Play subscriptions. For supported subscription verification, TRADWRK exchanges purchase information and a pseudonymous account reference with Google. Our configured email provider supports messages and notifications.
- Connected accounting: if you authorize QuickBooks Online, supported accounting information and connection identifiers are exchanged with Intuit to provide that integration.
- Recipients you choose: when you use an available sharing feature and confirm a message, the selected content is sent to the recipients you specify. Availability depends on the feature and your permissions.
- Other necessary disclosures: information may be disclosed to meet legal obligations, protect rights and security, or in connection with a business transaction, subject to applicable protections.
Connecting a third-party service is subject to that provider's privacy policy and terms. Opening an external reference drawing also takes you to the source's service.
Cookies and browser storage
The signed-in software uses cookies for authentication and security. Browser storage also retains selected-job information, preferences, and some local drafts or saved interface data. Some browser-only information is not included in the server database or its backups. Clearing browser data may remove it. Disabling necessary cookies may prevent sign-in or other features from working.
The current public demo source does not include advertising pixels or cross-site advertising analytics. Its interactive examples run in the browser. Hosting and third-party services may receive ordinary technical information when you access them.
Retention and deletion
Information is retained for the purposes described here, including providing the service, maintaining authorized company records, billing, security, resolving disputes, and meeting applicable recordkeeping obligations. Retention depends on the type of information and the company's needs. Backup copies and records subject to legal obligations may persist after deletion from active systems. Cancellation of a subscription stops billing under the applicable subscription terms; it does not by itself guarantee immediate deletion of company records.
You can request account and associated personal-data deletion using our online form, including without access to the app. Contact us to ask about access, correction or export. We may need to verify your identity and authority. For information managed by your employer or another customer company, its administrator may need to authorize the request.
After verifying identity and authority for an account-deletion request, we aim to complete the review and removal within 7 days and will respond with completion or specific retention limits within 30 days. We explain any retained records, their purpose, and the conditions for removal. Minimal closure and deletion evidence may remain to prevent restored accounts from regaining access and document fulfillment; retained records are reviewed when completing the request.
Our managed database has a 7-day recovery window. Google Workspace may allow administrator recovery of permanently deleted service emails for 25 days. Recovery windows do not guarantee physical erasure from every provider system. Removed-account and selected-data checks must pass before a database recovery is returned to service. Payment providers may retain their own purchase history under their terms and applicable obligations.
Your choices and applicable rights
You can manage available profile and notification settings, choose whether to use voice, control browser or Android app permissions, and disconnect supported integrations. Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your personal information, or object to or limit certain uses. Submit requests to the privacy contact above. We will assess requests under the applicable requirements and explain relevant limitations.
Security
TRADWRK uses authentication, permissions, company-level access controls, protected connections, and security logging. Safeguards reduce risk but cannot guarantee that every system or transmission is completely secure. Use a unique password, protect your account, and upload only information you are authorized to use.
Changes to this policy
We will update the effective date above when this policy is revised. Where required, we will provide additional notice of material changes.
